Arcanium Pty Ltd (ABN 88 684 786 856) trading as Arcanium Business Solutions ("Arcanium", "we", "us", "our") respects your privacy. This policy explains how we collect, use, store and disclose personal information. We collect personal information through these channels:

  • Our website: contact, enquiry, join, booking and newsletter forms.

  • Facebook and Instagram lead ads: when you submit an instant form in one of our ads, Meta passes the details you submit (such as name, email, mobile and business name) to us. Meta may pre-fill some fields from your profile. You can review and edit them before submitting.

  • Referrals and partners: when a client, partner or referrer introduces you to us. Where we receive your information from someone else, we will let you know when we first contact you.

  • Your organisation, when it engages us on your behalf.

  • Automatically, through cookies, analytics tools and advertising pixels (see Section 10).

  • Publicly available sources, such as business directories, company websites and professional profiles, for business-to-business outreach.

4. Sensitive information and coaching confidentiality

Some services, particularly coaching and profiling, may involve sensitive information such as details about your health, wellbeing or personal circumstances. We only collect sensitive information with your consent and when it is reasonably necessary for the service. We treat everything discussed in coaching and advisory sessions as confidential and do not share it with your employer or any other party without your consent, unless the law requires it.

5. Recording of calls and sessions

We may record or transcribe calls, video sessions or workshops to support note-taking, quality and service delivery. We will always tell you before recording begins, and we will only record with your consent. You can ask us not to record at any time. Recordings and transcripts are stored securely and handled under this policy.

6. Dealing with us anonymously

You can browse our website and ask general questions without identifying yourself. To receive resources, book a session or engage our services, we need your contact details.

7. How we use your information

  • To respond to enquiries and deliver the resources you request.

  • To provide our coaching, advisory, training, brand, AI and software services.

  • To follow up on leads from our website, advertising and social media, including by email, phone or SMS, about the resource or service you showed interest in.

  • To manage bookings, events, invoicing, payments and our online store.

  • To measure and improve the performance of our website, content and advertising.

  • To show relevant advertising to you, and to people similar to our clients, on platforms such as Facebook, Instagram, LinkedIn and Google (see Section 10).

  • To send newsletters, insights and offers where you have consented (see Section 8).

  • To tailor and improve our services.

  • To meet our legal, tax, insurance and regulatory obligations, and to protect our legal rights.

8. Direct marketing and your choices

We only send marketing emails and SMS messages where you have consented, or where consent can reasonably be inferred from an existing business relationship. Every marketing message identifies Arcanium and includes a simple way to unsubscribe, which we action within 5 business days. Requesting a free resource, such as a checklist, means we may send you that resource and follow up about it. You can opt out at any time. We do not make marketing calls to numbers on the Do Not Call Register unless you have consented. You can also opt out of marketing by emailing hello@arcaniumadvisors.com.

9. Use of AI and automation tools

We use AI assistants, AI agents and automation software to help schedule, draft, organise, analyse and deliver our work. This can include answering enquiries, routing leads, preparing reports and managing our social media and advertising accounts. Personal information processed through these tools is handled under this policy and limited to what the task requires. It is not sold, and it is not used to train public AI models with your identifiable information.

We do not make decisions that significantly affect your rights or interests based solely on automated processing. Where automated tools help prioritise enquiries or tailor content, a person at Arcanium remains responsible for any decision that matters to you. You can ask us how automation was used in relation to you, and ask for a human review.

10. Cookies, pixels and advertising

Our website and advertising use cookies and similar technologies:

  • Essential cookies that make the website and checkout work.

  • Analytics, such as Google Analytics, to understand how visitors use our site.

  • Advertising pixels and tags, such as the Meta Pixel and Conversions API and the LinkedIn Insight Tag. These help us measure whether our ads lead to enquiries and show our ads to people who have visited our site.

Custom Audiences. We may share contact details of existing clients and leads with advertising platforms such as Meta, LinkedIn and Google in a hashed (encrypted) form. The platforms use this only to match people who already use their services, so we can show relevant ads or exclude existing clients. They delete unmatched data. To opt out, email hello@arcaniumadvisors.com.

Your controls. You can disable or delete cookies in your browser settings, manage ad preferences in your Facebook, Instagram, LinkedIn and Google account settings, and opt out of Google Analytics using Google's browser add-on. Some website features may not work if cookies are disabled.

11. Who we share information with

We may share personal information with:

  • Service providers who help us run our business, including website hosting and our online store, payment processing, email and newsletter platforms, CRM, cloud storage and productivity tools, scheduling, video conferencing, messaging, and AI and automation platforms.

  • Social media and advertising platforms, including Meta (Facebook, Instagram and WhatsApp), LinkedIn and Google, as described in Sections 3 and 10.

  • Professional advisers such as accountants, lawyers and insurers.

  • Subcontractors or partners who help deliver a service you have engaged us for. They are bound by confidentiality.

  • A buyer or successor if our business is sold or restructured.

  • Other parties where you consent, or where required or authorised by law.

We require our providers to protect personal information and to use it only for the services they provide to us. We do not sell your personal information.

12. Overseas storage and disclosure

Some of our service providers store or process data outside Australia. Countries include the United States, member states of the European Union (including Ireland), the United Kingdom and Israel. We take reasonable steps to ensure these providers protect your information to a standard consistent with the Australian Privacy Principles.

13. How we protect your information

We take reasonable steps to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure. These include access controls, multi-factor authentication where available, secure cloud storage, and password-protected client deliverables and review websites. No online system is completely secure, so we cannot guarantee absolute security.

If a data breach is likely to cause serious harm, we will notify affected individuals and the Office of the Australian Information Commissioner (OAIC) in line with the Notifiable Data Breaches scheme.

14. How long we keep it

We keep personal information only for as long as it is needed for the purposes in this policy, or as required by law. As a guide:

  • Client, engagement, financial and tax records: 7 years after the engagement ends.

  • Leads and enquiries that do not become clients: up to 2 years from our last contact, unless you opt out sooner.

  • Marketing subscribers: until you unsubscribe.

  • Recordings and transcripts: until no longer needed for the service, and no longer than the related client record.

When information is no longer needed, we securely destroy or de-identify it.

15. Access and correction

You may ask to access or correct the personal information we hold about you, or ask us to delete it, by emailing hello@arcaniumadvisors.com. We will verify your identity and respond within 30 days. If we cannot give you access, or cannot make a correction, we will explain why.

16. Children

Our services are designed for business owners, leaders and professionals. We do not knowingly collect personal information from people under 18 without the consent of a parent or guardian.

17. Third-party websites

Our website, ads and content may link to other websites and platforms. We are not responsible for their privacy practices, so please review their privacy policies.

18. Clients outside Australia

If you are in the United Kingdom or European Union, we process your personal information to perform our contract with you, with your consent, or for our legitimate interests in running and promoting our business. You may have additional rights, including to object to processing, to request that we restrict it, and to data portability. Contact us to exercise them.

19. Complaints

If you have a privacy concern, please contact us first at hello@arcaniumadvisors.com. We will acknowledge your complaint within 5 business days and aim to resolve it within 30 days. If you are not satisfied with our response, you may contact the Office of the Australian Information Commissioner at www.oaic.gov.au or on 1300 363 992.

20. Changes to this policy

We may update this policy from time to time, for example when we add new services or channels. The current version will always be published on this page, with the date it was last updated.
